Key Benefits

Thousands of organizations around the world use document imaging every day instead of paper filing systems. Document imaging offers a number of benefits over paper or microfilm systems.

Fast retrieval
Imaging lets you find documents quickly without leaving your desk. Paper and microfiche are slower because users must go to files and search manually.

Flexible indexing

Imaging can index documents in several different ways simultaneously. Indexing paper and microfilm in more than one way is awkward, costly and time-consuming.

Full-text search
Imaging systems can retrieve files by any word or phrase in the document, a capability that is impossible with paper or microfiche.

No lost files
Imaged documents remain in their folders when being viewed, so none are lost or misplaced. Plus, index template and full-text searches can find documents if they are accidentally moved. Lost documents are expensive and time-consuming to replace.

Digital Archiving
The risk of loss or damage to paper or electronic records is reduced with a document imaging system. Keeping archival versions of documents in a document imaging system helps protect paper documents from over-handling and keeps electronic documents in a non-proprietary format.

Share files easily
Imaging makes it easy to share documents electronically with colleagues and clients over a network, on CD or through the Web. Paper documents usually require photocopying to be shared, and microfilm requires conversion to paper.

Improved security
Imaging can provide better, more flexible control over sensitive documents. Imaging controls security at the folder, document or individual word level for different groups and individuals. In contrast, all paper documents in a filing cabinet or filing room have the same level of security.

Save space
Imaging will help recover valuable office space that was previously taken up by bulky paper files.

Disaster recovery
Imaging provides an easy way to back-up documents for offsite storage and disaster recovery. Paper is a bulky and expensive way to back-up records and is vulnerable to fire, flood and theft.

Scaning & Importing

Flexible capture alternatives are essential for preparing paper and electronic documents for archival, retrieval and distribution across your document management solution.

MVi's Document Imaging System provides basic scanning, batch processing and electronic document import.

For your specialized capture needs, we also offer a set of solutions that accommodate documents found in widely varying formats and locations organization-wide.

Scanning

Scanning documents has never been this simple. With auto contrast control, deskewing options and batch processes you can scan your office documents with accuracy and ease.

Capture
For miscellaneous files, such as Word or Excel files you can simply capture them directly and send them to your Document Imaging System and it is as easy to use as printing.

Report Capture System
File, store and index text-based reports generated by your host data processing system. See Report Capture System to learn more.

Indexing & OCR

MVi's indexing and OCR systems are essential for a fast and productive Document Imaging System.

OCR (Optical Character Recognition)

OCR is a software based system of turning a picture image into text-based information which can then be edited in a word processor or indexed for searching. In the past, if you wanted to be able to search through a document that had been scanned in, you had to do it by looking at each and every page. If you wanted to edit the text, you had to retype the entire document. No longer are we in those days. Now it's as simple as clicking a button. You can OCR a single page or batches of scanned information.

Indexing

Indexing is the process of compiling words from a document into a database. Once it has compiled into a database it can be searched and filtered.

Search & Retrieval

Searching for a document, or a line of text within a document, is easy with our search engine software. A great deal of research has gone into ensuring the search capabilities of the software.

  • Boolean operators and wild-cards help narrow or expand your full text searches
  • Fuzzy search can locate misspelled words, even if the wrong letter occurs at the beginning of a word.
  • Proximity search reveals when one word or phrase occurs near another.
  • Indexed database fields provide traditional search capabilities, including date and range searches.
  • Search results can be saved in a folder for later examination.
