The MVi Support department has come up with some year-end procedures that we hope will help keep your databases well managed and running smooth.


The following are some procedures we suggest to follow by the first part of the year.  These are not critical to get done by the end of the year but if you can find a few minutes early in the year, it will keep your database organized. On the following pages you will find detailed instructions on how to do each of these suggested procedures.


  1. Create a New DAILY volume.
    If you are scanning checks and receipts then you should be scanning these into a DAILY volume that is created for each year.  The name of the volume should be DAILY2009, DAILY2010, etc. corresponding to the current year.

  2. Create a New RECEIPT volume.
    If you have RCS (MVI Receipt Capture), then your receipts are stored in a RECEIPT volume in Laserfiche.  It is suggested that you create a new RECEIPT volume for each year.

  3. Create a New REPORT volume.
    If you have MARS(MVi Archive Report Server), then your reports are stored in a REPORT volume in Laserfiche.  It is suggested that you create a new REPORT volume for each year.

  4. Create New Folders for each of the months in the new year in the “Daily Work” folder.

NOTE: If you have MVi Check21, MVi RCS, and/or MVi LaserChecks then the Daily Work folders are automatically created by their respective products and there is no need to create them manually.

Please take this time to make sure you backups are completing.  You should be checking these every day.
